POSITION: Interpreter Project Coordinator

LOCATION: IRCO Main, 10301 NE Glisan St., Portland, OR 97220.

Position is currently remote during pandemic.

WAGE: $45,000 per year

SCHEDULE: Monday
– Friday; 8:30am
– 5:00pm on non-peak season.

Monday-Friday; 10:00am
– 7:00pm peak season (fall/end of school year)

GENERAL POSITION SUMMARY:

An Interpreter Project Coordinator 1 is responsible for providing possible interpretation if they have dual language skills and if time allows.

Mainly will be coordinating interpretation appointments and other fee-for-service program appointments from the initial client request through project execution to final invoicing.

The IPC 1 will be a customer service-oriented person who develops and fosters positive relationships with clients and vendors alike.

This position works closely with IRCO ILB Manager, ILB lead 1 & 2, and language account specialist to proactively engage in all aspects of problem solving.

The IPC works in a fast-paced, multicultural environment, and advances IRCO’s mission in the community.

This position often has wide diversity of work situations and the job involves a high degree of complexity.

This position has standard practices and procedures.

However, procedures can often be discussed with team and change to meet customer needs and interpretation demands.

This position contributes to the development of new concepts and policies.

It operates independently with minimal supervision and performs duties with little direction given.

The job requires flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of employees, clients and vendors.

Often time this position requires balancing requests by various shareholders.

The work is in a constantly changing social service environment.

ESSENTIAL FUNCTIONS:

Account and Project Management

Develop and maintain positive relationships with clients through regular contact via telephone, email correspondence, and in-person service calls.

Consistently deliver high level customer service for ongoing projects.

Select interpretation/other fee-for-service contractors; assign appointments; track appointment progress and costs; manage in-progress issues that arise; ensure final client satisfaction with interpretation services.

Manage interpretation/other fee-for-service appointments regarding client preference and quality.

Manage multiple timelines; confirm details and location specifications with customers and interpreters; manage unit response to changes in customer requests and deadlines.

Perform quality control procedures to ensure all appointments meet and exceed client expectations.

Maintain organized records of work performed.

Work closely with ILB Manager and staff to design new processes and streamline workflows to ensure optimal performance.

Recruit and maintain linguistic resources.

Perform clerical duties as necessary for accounting and project management purposes.

Reception and Scheduling

Answer phones and direct calls as appropriate.

Greet walk-in customers, applicants and visitors.

Convey information in a friendly, helpful manner.

Receive and distribute faxes and phone messages.

Call or email interpreters and customers with appointment and general reminders.

Clerical

Maintain all departmental records.

Type memos, correspondence, and other materials in response to verbal requests or written instructions.

Deliver messages, assignments and forms within the organization.

Bookkeeping

Enter data for translator and interpreter payroll.

Maintain records of payments to contractors, employees and vendors.

Complete payment vouchers for monthly bills and submit to supervisor for approval.

Assist with invoicing.

Send invoices to clients by mail, fax or email.

Respond to billing inquiries and process credit card payments.

Perform follow-up on past due invoices.

Disburse petty cash funds as requested and maintain detailed records of same.

Complete monthly reconciliation of disbursements; request additional funds as needed.

SECONDARY FUNCTIONS:

May take additional task as needed under ILB direction to ensure the program survival this may mean taking on additional tasks to help other parts of interpretation be it helping with data entry for accounting.

This is including working as an interpreter, assisting translation services, or other ILB programs.

JOB SPECIFIC QUALIFICATIONS:

Any combination of education and experience that demonstrates the ability to perform the duties of the position is qualifying.

This would typically include:
Education and experience in a related field (knowledge of the interpretation industry preferred), experience with scheduling, Intercultural cultural/Communication Studies, Intermediate computer skills/education
One year experience working as a scheduler interpreter and/or in account or project management.

Experience in the translation or interpretation industry is preferable.
Time management skills in order to prioritize work and daily responsibilities.
Fluency with other foreign languages is a plus
KNOWLEDGE:

Education: High School or GED (1)

Experience: 1-2 years of experience is required (3)

Additional Language Required: Multilingual (preferred) but not required

Computers: All positions at IRCO require use of a computer and experience working with Microsoft Products including but not limited to Microsoft 365, Excel, Word, Outlook and PowerPoint and use of a soft phone application while working remotely.

In addition, this position specifically requires use of reliable personal internet while working remotely.
